University of Rochester Staff Administrator II in Rochester, New York

GENERAL PURPOSE:

Supports human resource activities and programs that focus on staffing, compensation, benefits, training and safety. Answers employee questions about human resources policies and procedures. Coordinates staff relations projects for the Dean. Works with HR business partners to support employee questions/needs within employee compensation, training and benefit programs.

RESPONSIBILITIES:

Staff Relations

  • Examines, develops, organizes, initiates, executes, manages, and audits new procedures related to staff relations in consultation with the Dean, senior leadership, departments and administrative offices to provide more expeditious, accurate and efficient delivery and integration of support services between departments, programs and the Dean’s, Provost’s and Human Resource Services offices.

  • Fosters a welcoming, supportive, and inclusive culture across the School of Arts and Sciences.

  • Develops, implements, and maintains computerized systems to track and monitor progress of all staff-related actions.

  • Serves as primary administrator to advise department chairs and department administrators in developing performance improvement programs for department employees in collaboration with Human Resources Business Partner.

  • Investigates and takes appropriate partner to resolve personnel issues.

  • Advises departments on correct procedures and paperwork required for staff affairs.

  • Advises Dean on matters pertaining to minority recruitment and retention of employees.

  • Identifies opportunities for staff recognition and develops and implements recognition programs.

Recruitment

  • Assists the Senior Leadership Team in hiring for staff positions in the Dean’s Office by writing job descriptions, reviewing and recommending applicants, and scheduling and coordinating interviews.

  • Develops efficient systems and procedures for hiring that can be implemented and supported consistently by administrators at the department level.

  • Supervises and tracks all staff related recruitments across academic departments and centers. Supports actions relating to staff employees, including creation of new positions, inception of searches, or changes in level, equity reviews, leaves and retirements/resignations through conclusion.

  • Develops and executes onboarding practices for new employees.

Professional Development

  • Develops relationships with department-level staff and looks for opportunities to create communities of practice and opportunities for networking.

  • Develop system to support and track new hire check-ins and off- cycle review process.

  • In conjunction with the Dean, develops and facilitates staff workshops on staff search committee training, new department administrator training, staff onboarding, and a range of other initiatives as needed.

  • Identifies opportunities for professional development of staff and creates and implements programs to meet those needs.

Administration

  • Facilitates processing of requisitions in a timely manner. Works with departments and HR to review job posting requests and advise departments on paperwork required initiate action in departments when required, and follow up to ensure paperwork is received and acted on in a timely manner, as required

  • Ensures that all staff files are complete and up to date.

  • Performs technical reviews of paperwork submitted and follow up with department to ensure completeness and accuracy prior to submission to HR Business Partner.

  • Regularly follow up on paperwork submitted to ensure timely action in HR systems.

  • Issue reminders and follow up with departments to ensure timely submission of appropriate paperwork.

  • Troubleshoots, as required, to ensure deficiencies in all paperwork are adequately addressed prior to submission to other administrative offices.

QUALIFICATIONS:

Required:

  • Bachelor’s degree in related field

  • 3+ year of experience in Human Resources or administrative role or equivalent combination of education and experience

  • Strong communication and organizational skills

  • Ability to work on multiple projects and prioritize daily tasks Ability to collaborate with internal and external partners

Pay Range

Pay Range: $54,808 - $76,752 Annually

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
